In this show we used a lot of intimacy. I used yellow to indicate when it happened and what the actor(s) did. 
Additionally all of my blocking was written on pink sticky notes so that they can be moved around if needed.

Additionally in my script I had slips of paper that listed all scenic and props tracking for that page.

Along with the follow along tracking in my script. I also had a run deck sheet in my script and posted backstage as a reference for the cast and crew. This run sheet included photos for any major scenic change and had the spike colors for each set piece.

For this show we held weekly meeting for about 8 weeks. This allowed our artist team to get together and discuss progress. The production stage manager and myself would trade off on who was writing the report and who what running the meeting. 
When we got to tech week, we had a meeting at the end of every rehearsal. 

During the rehearsal process the PSM and myself would switch off on who was doing the report. On this specific day we had our weapons expert in since we had a replica prop shotgun in our show. The actor, weapons expert, and myself worked in a private rehearsal to become more comfortable with it. Additionally during the show it was my responsibility to oversee the movement and stage of this prop.
